It is the policy of Fuller Theological Seminary to provide employees with computer-related hardware and software, or access to such, as resources permit and job descriptions require. All technology hardware and software purchased by the seminary is the property of the seminary, and use by an employee does not constitute change of ownership. Purchased hardware and software is for seminary use only. Managers are expected to know the terms of any software license agreements, ensure that copyright infringements do not occur, and abide by the policy on Software License Management.

Procedures

  1. All computers, peripherals, and software purchases must be acquired through the seminary’s purchasing department, after consultation with the Information Technology Services’ (ITS) Help Desk. Please consult the Technology Acquisition Policy for the procedures necessary for obtaining technology.
  2. When a computer is assigned to a department, the department manager is responsible for delegating its use and control to an employee or group of employees. Each employee authorized to use a computer should be given specific responsibility for maintaining and preserving the information she or he uses. All computers are to be properly maintained, especially as specified in any lease agreement. Employees are not permitted to load personal software of any kind on any seminary-owned computer.
  3. Employees may only use a computer and its software after they have been authorized by the responsible department manager and then only after they have received instruction by their supervisor. This includes review of the seminary’s Acceptable Use Policy. Any unauthorized use of a computer or software can lead to disciplinary action, up to and including the possibility of immediate termination from employment.
  4. Authorized computer users are responsible for the use, storage, and security of their files and the maintenance of backup or duplicate disks of essential files. Employees assigned computers are responsible for the security of their equipment and software. This includes safeguarding it from loss or damage and ensuring that only authorized employees use it.
  5. Portable units (laptops, etc.) may be assigned to specific employees for their use on business calls, trips, and at home. Advance approval for assignment and use must be obtained from the respective department manager. Assignment will be based upon seminary and department priorities, and availability.
  6. The seminary maintains official administrative databases on a central server operated by ITS. These data are the sole source of official seminary information and therefore accuracy and integrity must be safeguarded. Authorized computer users who require access to such data must request access from their department manager and maintain the confidentiality of the data as appropriate.
  7. Departments managers needing to replace obsolete hardware and software will need to contact the ITS Help Desk to have old equipment picked up. If it is leased equipment, first contact the Purchasing department regarding the closure of lease arrangements and disposition of equipment.

The seminary reserves the right to change this policy and its procedures at any time, without advance notice, subject to approval by the chief information officer. Questions related to seminary technology policies should be directed to the seminary’s chief information officer (CIO).
